RECORD RETENTION GUIDELINES

SECTION 1 – WHAT ARE THE RECORD RETENTION GUIDELINES?
Northstate SHRM stores all previous, current, and future workshops/seminars/conference information that is pending or has been approved for recertification credits on our website at: http://www.northstateshrm.org/events/. We will keep registration and attendance records of our events for a period of at least three years.
Any paper or electronic documents that contain personal information will be maintained by the Registration Coordinator for a period of three years. We will then destroy all electronic records, and paper documentation containing any personal information of all attendees and/or participants by shredding it. We will not release the personal information of attendees and/or participants to any third parties without prior written consent.
We store copies of the approved recertification credit slips in an online Google folder only accessible by members of the Board of Directors for Northstate SHRM. The credits are kept on file for a rolling 3-year period.
If you attended one of our events and forgot to obtain the approval codes for recertification credits, you may contact the Certification Director, President, or President Elect at info@NorthstateSHRM.org and we will verify your attendance through our database. Once your attendance has been verified, you will be given the recertification codes for claiming your credits. Please allow up to 7 days for verification of your attendance at a past event.
SECTION 2 – INDIVIDUAL CERTIFICATION INFORMATION
We do not store copies of individual student certifications or remind certification holders of the specific timing their certifications are due for renewal. This is the sole responsibility of the certification holder.
SECTION 3 – CHANGES TO THESE GUIDELINES
We reserve the right to modify the retention guidelines at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to these guidelines, we will notify you here that it has been updated.
